Amazon Business Guide for Your PTA/PTO

✅ Step 1: Gather What You’ll Need Before You Start

• PTO/PTA legal name (as registered)
• School mailing address
• PTO EIN (Employer Identification Number)
• PTO email address (use a shared inbox if possible, like pto@school.org)
• Primary contact (usually the treasurer or president)

✅ Step 2: Create the Amazon Business Account

• Go to Amazon Business (you can upgrade an existing Amazon account or start fresh)
• Choose create a free Amazon Business account
• Enter your PTO/PTA’s information (not a personal name)
• Verify your email and business details
• The account is free—there’s no monthly cost.

✅ Step 3: Apply for Amazon’s Tax Exemption Program (ATEP)

Amazon’s Tax Exemption Program (ATEP) allows eligible organizations to make tax-free purchases, but how you apply depends on whether you’re a PTA or a PTO.

If You’re a PTA (Affiliated with National PTA)

Most PTAs fall under their state PTA’s group exemption, not their own individual 501(c)(3).

What you’ll typically need:

• Your PTA’s EIN (often the same one used for banking)
• A copy of your state PTA’s tax-exempt documentation (group exemption letter)
• Your PTA’s legal name as registered with your state PTA
• School mailing address

Important PTA note: Amazon may list your tax exemption under the state PTA name, not your individual school PTA—and that’s totally normal.

If You’re a PTO (Independent Nonprofit)

PTOs usually operate as independent 501(c)(3) nonprofits or under a school/district umbrella.

What you’ll typically need:

• Your PTO’s EIN
• Your PTO’s IRS determination letter (if you have your own 501(c)(3))
  • OR documentation showing you are covered under the school/district’s tax-exempt status
• PTO legal name
• School mailing address

PTO Note: If your PTO does not have its own 501(c)(3), check with your school or district office to see if you can use their exemption for purchases.

✅ Step 4: Add Multiple Users (Without Sharing Passwords)

This is one of the biggest advantages for your group.

You can:

• Add the treasurer, president, and event chairs
• Set roles and permissions (who can order vs. who must request approval)
• Remove users easily when board roles change
