PTO Meeting Agenda

What it is:
Your meeting roadmap.

This free PTO agenda template is a simple, one-page guide that outlines what you’ll cover during your meeting, from quick approvals to upcoming events and key decisions.

Save this PTO Meeting Agenda Word doc template to your computer to type updates directly into the document each meeting. If you prefer, you can also work out of this Canva with this template (choose File and make a copy to save a version you can edit).

How to use it:
Send the agenda out before your meeting so everyone knows what to expect and can come prepared.

During the meeting, use it to:

• Keep conversations focused
• Stay on track with time
• Make sure important topics don’t get skipped

Tip: Try to keep it to one, scannable page. If it’s too long, people won’t read it.

The Meeting Minutes Worksheet

What it is:
Your official record of what happened.

This PTO meeting minutes template is designed to make note-taking easy while your meeting is happening. It captures key discussions, decisions, votes, and updates in a structured way.

How to use it:
Have your secretary (or a designated note-taker) fill this out during the meeting. Save this PTO Meeting Minutes Word doc template to your PTO folder to print out before each meeting to make notes by hand or use the document to type out your notes during your meeting.

Focus on capturing:

• Key decisions made
• Important updates
• Motions and votes
• Action items

After the meeting:

• Share the finalized notes with your PTO group
• Save them in your PTO binder or shared drive for future reference

Tip: Don’t try to write down everything, just the highlights that matter.

The PTO Task Tracker

What it is:
Your follow-through system.

This is where great ideas turn into real action. This PTO task tracker template keeps all your to-dos in one place, with clear ownership and deadlines. 

How to use it:
After your meeting, transfer action items from your minutes into the tracker.

For each task, assign:

• A responsible person
• A due date
• A status (not started, in progress, completed)

Use the tracker between meetings to:

• Keep volunteers accountable
• Check progress on upcoming events
• Avoid last-minute scrambling

Tip: At the start of each meeting, quickly review this tracker to stay on top of what’s in progress.
