Volunteer Sign-Up Flyer

Hang this flyer around your school and send one home with each student. Make sure this goes out well in advance so you give families enough time to commit.

Make Sure To:

• Update the event name, date, time, and location
• Update the colors to fit your school’s colors.
  • Here’s a quick guide on how to do this in Canva.
• Add a QR code so families can easily scan and get to your sign-up sheet. (Check out our Volunteer Sign-Up Guide for tips and free templates to save you even more time!)
• Don’t forget to also add the website where your sign-up sheet lives online for those who are not QR savvy.

School Event Flyer

Once you have the volunteers you need, use this free school fundraising event template to get the word out! Hang these flyers around your school and send them home with each student to make families aware of your upcoming event. You can also ask local businesses and facilities like your library, to display your flyers.

Make Sure To:

• Add your event name and details in the designated areas
• Update colors to represent your school. (Canva Brand Colors Guide)
• Add a photo of your students or a previous event if it’s something you hold annually.
• Create and add a QR code (guide to do this) that directs to a website with more event information. This can also be where you sell tickets if needed.

School Event Social Media Template

Use this free school fundraising event template to build excitement and keep your school community in the loop as your event approaches. Social posts are a great way to reach busy families where they already are—and to encourage easy sharing.

Make Sure To:

• Add your event name, date, and time so families can quickly save the date
• Update the colors and logo to match your school’s branding
• Include a short, clear call to action in your caption (ex: “Join us!”, “Save the date!”, or “Scan to learn more”)
• Add a QR code or link that directs families to your event page or sign-up form
• Post consistently:
  • About 1 month out to announce
  • 2 weeks before as a reminder
  • Week of the event to drive last-minute attendance

Fundraiser Goal Template

This visual goal tracker is a fun and motivating way to show progress and keep excitement high throughout your fundraiser. Display it around your school and send out progress updates via email and on social media. (Note: Five templates are included to show the thermometer filling up. Pro Tip: Use Canva’s animate feature to create a graphic that shows your thermometer filling up to the goal!)

Make Sure To:

• Update the title with your school name
• Update the colors to match your school brand
• Update financial milestones alongside the thermometer to match your goals
• Add a QR code that takes people to your event page for more info and to buy tickets if necessaryh

Financial Snapshot Slide

Use this monthly financial snapshot to clearly communicate how funds are being raised and used within your PTO/PTA. This can be a great slide to share at your monthly meetings after your event wraps up.

Make Sure To:

• Update your school name in the title
• Change colors to match your school brand
• Add the correct financial information

Tips to create a QR Code

QR codes make it easy for families to take action instantly—no typing required!

Step 1: Decide where your QR code should link
Choose the exact page you want families to visit, such as:

• A volunteer sign-up form
• An event information page
• A ticket sales page

Copy the full URL.

Step 2: Create the QR code
You can quickly create a QR code using:

• Canva (recommended since you’re already editing your flyer there)
• A free QR code generator online

In Canva:

1. Open a new design project 
2. Click Apps in the left menu
3. Search for QR Code
4. Paste your link and click Generate

Step 3: Add the QR code to your flyer or graphic
Place the QR code near a call to action like “Scan to sign up” or “Scan for event details.”
Make sure it’s large enough to scan easily from a printed flyer.

Step 4: Test before sharing
Scan the code with your phone to confirm it goes to the correct page.

Step 5: Include a backup link
Add the website URL under the QR code for families who prefer not to scan.

How to Add Your Brand Colors

Customizing your templates with school colors helps your materials look polished and instantly recognizable.

Step 1: Open the template in Canva
Click the template link and choose Use template to make your own editable copy.

Step 2: Identify your school colors
If you already know your school’s official colors, have those handy. If not, you can:

• Check your school website or logo
• Ask your front office or communications team

Step 3: Update colors in the design
Click on any colored element (backgrounds, shapes, text).

• Use the color picker to select a new color
• Enter your school’s HEX color code if you have it

Repeat for each color used in the template.

Step 4 (Optional): Save colors for future use
If your PTO uses Canva regularly, save your school colors in the Brand Kit so you can reuse them across flyers, social posts, and presentations.

Pro Tip: Once you have a Brand Kit in place, you can instantly change all colors of any template immediately to your school colors with just a quick click. Just select the brand icon on the left hand tool bar. Then select the color bar (see image below) and it will automatically shift all colors in the template into your colors. Click the word “shuffle” on the color bar for variations of the template with your colors used in different areas.
