Tips for Motivating Parents to Volunteer

Getting parents involved can feel like a challenge, but the truth is—most parents want to help. They just need clear communication, easy sign-up options, and a little encouragement! Use these strategies to boost volunteer turnout and make everyone feel welcome.

  1. Keep It Simple: Parents are busy. Break volunteer opportunities into small, manageable time slots (1–2 hours) so people feel they can contribute without a huge commitment.
  • Explain the “Why”: Don’t just ask for help—share the impact!
    • “By helping at the Fun Run, you’re making sure students have an unforgettable day that raises money for new library books.”
    • When parents understand how their effort directly benefits students, they’re more likely to step in.
  1. Offer Choices: Some parents love working directly with kids, while others prefer behind-the-scenes jobs. Offer a mix of roles: setup, cleanup, concessions, organizing supplies, photography, or grant writing.
  1. Use Friendly Messaging: Avoid “We desperately need volunteers!” Instead, try positive, inclusive language:
    • “We’d love for you to be part of the fun!”
    • “Every hand makes a difference—big or small!”

  1. Recognize & Thank Often: Shout out volunteers in newsletters, on social media, or with a simple “thank you” email. A little recognition goes a long way in motivating people to come back!
  1. Involve Families: Encourage parents to bring kids, grandparents, or older siblings when appropriate. Volunteering as a family makes it feel more like a community experience.
  1. Highlight Low-Pressure Options: Not every role requires being on campus. Parents can:
    • Make copies at home
    • Write thank-you cards
    • Help with digital design
    • Organize donations
  1. Build a Culture of Fun: Parents will show up if volunteering feels enjoyable. Play music, provide snacks, or turn setup/cleanup into a social time.
  2. Start With a Personal Ask: People are much more likely to say “yes” when asked directly. Encourage PTO leaders, teachers, and other parents to personally invite someone new to join in.

Pro-Tip: Track who volunteers and how. Rotate requests so the same parents aren’t always asked, and celebrate every contribution—big or small.

Common PTO Volunteer Roles + Descriptions

Keep these descriptions handy to copy and paste into emails, flyers, sign-up sheets, and more. 

Pro-Tip: Always add an estimated time commitment (e.g., “1–2 hours” or “During event only”) next to each role. Parents are much more likely to sign up when they know what to expect.

Event Setup Crew: Help decorate, arrange tables, hang signs, and get everything ready before the event begins. Perfect for parents with flexible daytime schedules.

Event Cleanup Crew: Stay after the event to take down decorations, pack up supplies, and leave the school looking spotless.

Food & Concessions: Sell snacks, pizza, drinks, or treats during events. A fun and social role—no cooking required!

Classroom Party Helper: Assist teachers with class celebrations by organizing crafts, games, snacks, or goody bags.

Book Fair Helper: Help students choose books, run the checkout station, or restock shelves. Great for parents who enjoy working with kids one-on-one.

Fun Run / Field Day Lap Counter: Stand along the track or field and mark laps on students’ shirts or tally cards. Encouraging smiles and cheers are part of the job!

Ticket & Registration Table: Check families in at the door, hand out tickets or wristbands, and answer basic questions.

Raffle & Prize Table: Sell raffle tickets, hand out prizes, or help students claim rewards.

Spirit Wear Sales: Help sell or distribute school shirts, hats, or other gear during events or after school.

Teacher Appreciation Committee: Assist with organizing special meals, small gifts, or thank-you notes for staff throughout the year.

Hospitality Team: Welcome new families, provide refreshments at PTO meetings, or help create a warm, inviting atmosphere at events.

Photography & Social Media: Take photos at events and share them with the PTO for newsletters, yearbooks, or social media.

Fundraising Helper: Support with tasks like sorting orders, tallying fundraiser results, or helping distribute products (cookie dough, discount cards, etc.).

Grant Writing / Sponsorship Outreach: Write simple letters to local businesses or research small grants that could support the school. Great for parents who prefer behind-the-scenes work.

Copy & Supply Helper: Make copies, cut out materials, or organize supplies for teachers or PTO events. Small time commitment, but very helpful!

Carpool / Safety Support: Help direct traffic, keep car lines moving, or guide students safely during arrival/dismissal at special events.

How to Use Your Google Form (Survey) and Connect it to a Google Spreadsheet

This Volunteer Sign-Up Template is completely customizable. Change or add any questions to fit your needs. Follow along with the steps below to get started and then send your link to families via email and on social media and/or create a QR code (here’s how to do that)  for posters and flyers to start signing up volunteers!

Here’s how to start using this template: 

  • Open this Google Form (Volunteer Sign-Up Template) and click the blue “Use Template” button in the upper right hand corner. 
  • You will need to fill out the fields for question 7 & 8 with upcoming events you need volunteers for and roles you are looking to fill. (There is an “other” field at the bottom which will allow volunteers to fill in anything that may not be listed) 
  • When your form is ready click the “Publish” in the upper right corner. 
  • You can now share this link out to families and your community! 

Here’s how to easily link your Google Form to a Google Sheet:

When you create a Google Form for volunteer sign-ups, you can link it to a Google Sheet so that all of the responses you collect are automatically organized into fields.

  • Open the Volunteer Sign-Up form you created.
  • At the top of the Form, click Responses (next to “Questions”).
  • Look for the green Sheets icon in the Responses tab.
  • Click it, and select create a new spreadsheet → Google will make a brand-new Sheet just for this Form.
  • Once linked, every new Form submission will automatically appear as a new row in the spreadsheet.
  • Test it out! Fill out the Form yourself with test info. Open the Sheet—you should see your entry show up instantly.
  • Always share the Form link NOT the spreadsheet with parents so they can sign up without seeing everyone else’s responses and information.
  • Keep the Sheet private—only PTO leaders or event coordinators should have editing access.
  • If you edit the Form (add new questions), those changes will automatically add new columns to the linked Sheet!

Tips for Using Your Volunteer Sign-Up Spreadsheet

Your Google Form automatically sends responses into your spreadsheet—making it your one-stop hub for volunteer info! Here’s how to keep it organized and useful throughout the year:

1. Freeze the Top Row

  • In Google Sheets, click View → Freeze → 1 row.
  • This way, column headers (Parent Name, Email, Role, etc.) always stay visible when scrolling.

2. Color-Code Events or Roles

  • Highlight different event names (Fall Festival, Fun Run, Book Fair) with different background colors.
  • Makes it easy to scan at a glance.

3. Filter for Quick Searches

  • Turn on filters (click the funnel icon or Data → Create a filter).
  • Now you can sort volunteers by event, role, or teacher quickly without messing up the sheet.

4. Add a “Status” Column

  • Create an extra column labeled Confirmed? or Completed?.
  • Use checkmarks when you’ve emailed a reminder, confirmed attendance, or marked them as “done.”

5. Use Conditional Formatting

  • Highlight empty “Phone Number” or “Email” cells in red so you know where info is missing.
  • Highlight upcoming event volunteers in green so you see who’s ready.

6. Duplicate Sheets for Each Event

  • Keep one master sign-up sheet, but duplicate tabs for each event so you can print or share event-specific lists.
  • Example tab names: Fun Run Volunteers, Fall Festival Volunteers, Book Fair Volunteers.

7. Send Reminders Easily

  • Copy email addresses into Gmail (BCC!) or export as a contact group.

8. Protect Contact Info

  • Keep the spreadsheet link private (only PTO leaders/committee chairs should have access).
  • Share event-specific volunteer lists (with only names & roles) with teachers or chairs if needed.

9. Print Check-In Sheets

  • Before an event, print the list for that day so coordinators can check off volunteers as they arrive.

10. Archive Each Year

  • At the end of the school year, make a copy of the full sheet as your “Volunteer Archive.”
  • Start fresh with a clean form/sheet each year to keep data tidy.

Pro-Tip for Super-Organized PTOs: Create a second tab called “Volunteer Pool” with parents who say “Yes, contact me for anything!” so you have a ready-to-go list when you need extra hands fast.

How to Make a QR Code for Your Volunteer Sign-Up

QR codes are an easy way for parents to access your sign-up form—no typing links or long web addresses needed! Parents just scan the code with their phone camera, and they’re instantly taken to your form.

Step 1: Copy Your Sign-Up Link

  • If you’re using a Google Form, SignUpGenius, or another tool, copy the shareable link to your sign-up page.
  • If the link is long, shorten it using bitly.com or tinyurl.com to make it cleaner.

Step 2: Choose a Free QR Code Generator

There are lots of free websites—here are a few easy ones:

If you are working in Canva to create your posters or social media posts, you can also use Canva’s QR code app to generate one and have it inserted directly into your design. 

Step 3: Paste Your Link

  • In the generator, paste your sign-up form link into the box.
  • Most sites automatically create your QR code in seconds.

Step 4: Download & Share

  • Download your QR code as a PNG or JPG file.
  • Add it to flyers, posters, newsletters, or even a PowerPoint slide for Back-to-School Night.
  • Test it yourself before sharing to make sure it links correctly.

Pro-Tips:

  • Print the QR code at least 1 inch x 1 inch so phones can scan easily.
  • Always include a backup text link below it in case someone prefers to type it in.
  • Encourage teachers to put the QR code in their weekly emails or classroom newsletters for maximum visibility.
